How to Evaluate Physician Relationship Management Software

Choose a PRM around the decisions, data, and workflows your organization needs—not a checklist of marketing claims.

Updated October 20, 2026

1. Start with the decisions your team needs to make

Identify the service lines, markets, provider relationships, and growth goals that matter most. Ask each vendor to demonstrate the same scenario: find a referral opportunity, prioritize providers, document outreach, and assess the result.

2. Inspect the data behind the dashboard

Request the claims sources, payer coverage, geographic scope, service-date window, delivery schedule, and projection methodology. Separate claims-based estimates from organization-supplied EMR activity. Ask how provider affiliations and directories are maintained and how limitations are communicated.

3. Test outreach workflows with actual users

Have liaisons and managers demonstrate provider lookup, visit preparation, activity entry, assignments, follow-up, and reporting. Confirm whether each action is available on the devices your team uses. Test voice input, routing, offline access, and calendar requirements individually rather than assuming they are included.

4. Distinguish configuration from custom development

Ask who can edit activity types, fields, labels, territories, templates, and permissions. Document which changes administrators can make, which require vendor assistance, and whether additional fees or development are involved.

5. Define implementation responsibilities

Request a written plan covering data exports, field mapping, provider matching, secure transfer, validation, configuration, training, and go-live acceptance. Identify owners on both sides. Compare implementation estimates only when the data and integration scope match.

6. Compare the full commercial scope

Use the same requirements for each quote: users, datasets, markets, onboarding, training, support, advisory work, integrations, exports, contract term, renewal terms, and potential additional charges. A lower subscription figure is not a complete cost comparison.

7. Examine customer evidence

Ask for examples relevant to your organization, a reference conversation where permitted, and the method behind each result. Record the baseline, measurement period, data source, and operational changes. Opportunity identified, volume growth, gross revenue, net revenue, and ROI are distinct measures.

8. Establish a measurable pilot or success plan

Agree on adoption measures and business outcomes before launch. Track documentation and follow-up alongside referral and volume trends. Define how you will account for capacity changes, seasonality, payer mix, and other factors that can affect results.

A consistent demo checklist

  1. Show the claims service dates and explain the update schedule.
  2. Find providers for one priority service line and market.
  3. Prepare and document a visit on a liaison's device.
  4. Assign follow-up and show how managers review activity.
  5. Export a report and explain how results are calculated.
  6. Identify what is included today, optional, or on the roadmap.
