Position Overview

Doctivity Health is seeking a highly organized, strategic, and execution-focused Project Specialist to help drive key initiatives across the organization. This role will work directly with leadership, project owners, and cross-functional teams to ensure projects are executed on time, at a high level, and aligned with company goals and strategic priorities.

The ideal candidate is an exceptional communicator and coordinator who thrives in fast-paced environments, can manage multiple priorities simultaneously, and is comfortable working across a wide range of operational areas, including sales, product development, customer success, customer retention, marketing, PR, branding, executive operations, conference planning, and strategic initiatives.

This is a highly visible and versatile role with the opportunity to make a meaningful impact across the company.

Key Responsibilities

Strategic Project Management

●     Manage and coordinate strategic projects across multiple departments and initiatives

●     Develop and maintain project timelines, deliverables, objectives, milestones, and success metrics

●     Work closely with project leaders and stakeholders to ensure projects remain on track, properly prioritized, and executed at a high level

●     Identify risks, bottlenecks, and dependencies while proactively driving solutions

●     Ensure accountability and follow-through across teams and initiatives

●     Assist leadership with operational coordination and strategic execution

●     Within three to six months of starting, must have capabilities to deliver product demos and be able to help with SDR work

Meeting & Communication Management

●     Create detailed meeting agendas and ensure meetings remain productive and action-oriented

●     Facilitate project and leadership meetings as needed

●     Document meeting outcomes, action items, responsibilities, and timelines

●     Lead post-meeting follow-up communication and project status updates

●     Conduct project retrospectives, summaries, and “360” reviews to improve execution and communication across teams

●     Serve as executive administrative assistant

Cross-Functional Collaboration

●     Partner with teams across:

○      Sales

○      Development / Product

○      Customer Success

○      Customer Retention

○      Marketing

○      Public Relations

○      Branding

○      Executive Leadership

○      Operations

○      Conference & Event Management

●     Serve as a central coordination point between departments to improve visibility, communication, and execution

Conference & Event Planning

●     Coordinate and manage all aspects of conferences, trade shows, executive meetings, and company events

●     Assist with logistics, including travel coordination, vendor communication, booth planning, schedules, materials, timelines, and on-site execution

●     Ensure events are professionally executed and aligned with company goals and brand standards

●     Organize conference submissions and company speakers at conferences and ensure the quality of their presentations

Process & Workflow Management

●     Help improve internal operational processes and project workflows

●     Maintain organized project documentation and reporting

●     Utilize project management methodologies and tools to improve efficiency and visibility

●     Support Agile and/or Scrumworkflows where appropriate

 

Qualifications

Required Skills & Experience

●     3+ years of project management,operations, or cross-functional coordination experience, preferably in healthcare or health tech environment or an agency model

●     Strong organizational and time management skills with exceptional attention to detail

●     Proven ability to manage multiple projects simultaneously in a fast-paced environment

●     Excellent written and verbal communication skills

●     Ability to work independently while coordinating across multiple teams and personalities

●     Strong problem-solving and critical-thinking abilities

●     High level of professionalism, discretion, and accountability

●     Comfortable working directly with executive leadership

●     Experience with AI tools for improved efficiency and task completion (ex. Codex)

Preferred Experience

●     Experience with conference planning and event coordination

●     Experience in healthcare, healthcare technology, SaaS, analytics, or growth-focused organizations preferred

●     Familiarity with CRM/PRM, marketing, or customer success workflows is a plus
